Dear colleagues,

With this e-mail I would like to inform you that Heineken Global Procurement is starting a global project on airlines and hotel sourcing. This tender will be run with the support of Advito LLC, a consulting company specialised in travel sourcing. The objectives of the tender are:
- To achieve year on year savings while following the travel patterns and maintaining a high level of consideration for the travellers satisfaction, safety and security and
- enhance coverage under these global programs.

The timelines are expected to be as below:

Air Sourcing:
Phase 1: Program assessment and strategy review  July 2016 – Aug. 2016
Phase 2: Current contract savings and target assessment  Aug. 2016 – Oct. 2016
Phase 3: Proposal evaluation and negotiation  Oct. 2016 – Feb. 2017

Hotel Sourcing:
Phase 1: Program assessment and strategy review  July 2016 – August 2016
Phase 2: RFP Process  August 2016 – November
Phase 3: Hotel program implementation: Dec 2016 – Feb. 2017

What is expected from you:

Phase 1 (common for air and hotel project):
The program assessment success is depending on the data collection exercise. The Opcos that are already working with BCD Travel or a BCD Travel partner for more than 6 months will have the data collected by Advito directly. The other Opcos are requested to provide the data on air and hotel spend according to the format attached.
Please forward this format to your travel agency and request it back filled-in. As this is a standard practice in the travel world, your travel agency should have no problem to provide it back.
Please provide this format back the latest on 18th of July.

In the third attached template you will find the rate loading information which needs to be filled in for the Opcos which are currently not working with BCD Travel. We will implement a master account to process the rate loading information for the hotels based on all PCC’s and IATA access codes. This is a huge advantage for Heineken.
Please request this information to your local travel agency and provide us this information the latest on 18th of July as well.

For air sourcing: in case you have local airline agreements, please provide a copy to be assessed by Advito.
Except for the current data, no further details are needed from your side.

For hotel sourcing: your input will be needed during the negotiation process to assess if the hotels solicited and accepted are agreed by you locally. During the strategy review phase it will be decided if the hotel negotiations will be mainly done locally or globally.
