Dear Parents, players and friends of Hanoi Dragons.
After another successful season, we need to start preparing for the new season to ensure the shirts will be ready, pitches booked and coaches found for our players.

Please see the following and advise by return email to Gerald, copy to Russell and Sophie by 6th June if you are willing to take on one of the tasks outlined. The timing is important so that we can start making plans before people leave Hanoi for the summer break.

The following roles are needed to keep the club going.
1.) Website uploading and outward communication – Sophie.
2.) Email management – checking website for emails, distributing them to relevant people within the club.
3.) Treasury – handling the money.
4.) Registration for Hanoi Dragons players – our own dbase of players and family contact details.
5.) Registration management of Hanoi Dragons – ie gathering & providing player details to the league HYFL for start of season (one-off job)
6.) Training Pitch coordination – Linh.
7.) Coach activities Coordination - Russell
8.) Hanoi Dragons Kits – arranging new shirts/shorts etc
9.) Parties during the season - Sophie
10.) Football tournaments /trips outside of Hanoi

These are discussed in more detail below.

ad.1)
The web page is now established, but is not currently available to web browsers. It should now be made public – accessible to everyone and particularly to those new to Hanoi who may be searching for a football club. Therefore the Club will need to pay applicable yearly fees (approx. USD100.-) to web page providers to make it public – this will now be included in the club’s budget.
- Sophie has volunteered to continue to manage the website.

ad.2.)
The email management is needed to enable and guarantee timely replies and to communicate with parents/players, suppliers, etc....

ad.3.)
A treasurer for the next season is needed to be established well ahead of time.
- Gerald will do it if nobody else volunteers.

ad.4.)
All players need to be registered for the next season, respective documents need to be revised for that season. A list of registered players needs to be established and maintained

ad.5.)
all players registered by Hanoi Dragons need to be registered with the League to play matches. Respective documents needs to be established as well as supporting documents received by the Hanoi Dragons.

ad.6.)
The Trainings pitch schedule need to be stablished, the trainings pitch organization and payment is part of the HD budget has to be organized and well communicated with pitch owners/operators.

ad.7.)
the activities of the coaches needs to be organized and coordinated. Each age group should try to have at least one back-up supporting coach.
- Russell offered to continue in this role.
- Each team should have a head coach, assistant coach and a ‘manager’ to take care of administration affairs for the team (like chasing up registration documents, payments etc)

ad.8.)
Hanoi Dragons KIT:
Each player will have a uniform with a light colored team dress, a ball and a water bottle for training and an option for parents shirt. This will be allowed for in the club’s budget. We agreed to try and use the new shirt designed by Melih – final decision by the volunteer(s) for this task.
- All needs to be organized, ready and available for the players at the beginning of the football season by September.

A Season opening party in September, a year-end party before Christmas and an end of season presentation are part of the budget.
- Sophie volunteered to do this.

ad.10.)
Football tournaments outside of Hanoi like Bangkok (2013/13,) Hue (2014/15) are not part of the Hanoi Dragons regular club budget but need to be well planned and organized as they may come.
